Admin and Accounts Assistant
As administrator and accounts assistant you will fully support the operations manager and the management team in all operational and guest related aspects of the Lapland programme.
You will be responsible for the smooth running of the resort office. This will involve running rooming lists and circulating to the relevant hoteliers as well as keeping the team fully up to date with client lists and numbers on each trip expected. You will liaise closely with the UK office with regards to any queries or late sales and you will be required to gain an understanding of the reservation system. You will also be responsible for collating daily reports and flagging any concerns / issues so these can be resolved.
To assist accounts you will be required to coordinate all invoices coming into the office and ensuring these are agreed and signed off and logged accordingly to ensure suppliers are paid on time and within strict time limits. You will need to be able to communicate effectively with suppliers over any queries and be able to resolve them in a timely fashion.
At all times you must ensure that the high service standards set by the company and expected by our clients are met.
You must be computer literate with a good understanding of Microsoft office, full training will be given on the systems / programmes used and some time may need to be spent in Oxford before Lapland. You will need to have excellent organisational and communication skills and be able to work within a team and also independently. An understanding of planning / logistics so you can fully assist the operations manager and help make informed decisions is desirable but not essential.
During the operational period the role will involve long working hours with little breaks or time off therefore endurance and the ability to work under pressure while presenting a pleasant demeanour at all times is crucial.
